Custom Orders Policy

We produce fully custom, raised-relief 3D medallions manufactured exclusively to your approved design. Each medallion is cast in Antique Bronze, Shiny Gold Color, Chrome Color, or Pewter, enhanced with baked-on enamel, and sealed under a heavy-duty clear coat engineered for long-term durability and exterior installation.

Please be specific in the notes section when describing your design. If you are uncertain about layout, wording, or symbolism, contact us prior to placing your order so our art department can help guide the concept appropriately.

Production Timeline:
After final written eSignature approval & due to tooling, casting scale, and finishing requirements, custom medallions sized 2″– 4″ require approximately 12-16 weeks (depending on complexity and mint production load). 6″ and 8" Medallions require 3–6 months. Medallions 12″ and larger may require up to 10+ months.

Your Custom Order Includes:
• Three (3) finished medallions in 2″, 3″, or 4″ sizes
• OR two (2) finished medallions in the 6″ size
Production begins only after written eSignature approval is received.

Orders for medallions larger than 6″ include one (1) finished medallion with extended production timelines.

Additional medallions may be purchased at standard inventory pricing at the time of order. Personalized designs including, but not limited to, names, dates, badge numbers, ranks, logos, business identifiers, or other unique identifiers are typically produced only in the quantities ordered. Requests for additional quantities must be submitted prior to eSignature approval and are not guaranteed.

Upon purchase, all submitted information is forwarded to our art department for mockup creation.

Artwork Revisions:
Each paid custom order includes up to three (3) artwork revisions based on the original approved concept. Additional revisions or material concept changes will incur additional artwork fees. No additional work will proceed until such fees are approved and paid.

After final artwork is issued, you will receive an electronic approval form. Once signed, the design is locked. No artwork, quantity, or specification changes may be made after approval.

Commissioner Recognition:
In select cases, custom medallions may be considered for inclusion in the Hero Medallions standard product catalog.

Customers who wish to be recognized as the original commissioner, for example “Originally commissioned by...”, must submit a request prior to final eSignature approval.

Recognition is not automatically offered and is granted solely at the discretion of Hero Medallions. Written electronically signed consent is required prior to any publication.

Hero Medallions may, at its sole discretion, extend an invitation for recognition after a design has been approved for broader release.

Intellectual Property & Licensing:
By submitting artwork, logos, insignias, seals, emblems, trademarks, or other protected materials, you represent and warrant that you own the rights or have obtained proper authorization to reproduce such material.

Hero Medallions does not assume liability for unauthorized use of copyrighted, trademarked, or otherwise protected materials submitted by customers. You agree to indemnify and hold harmless Hero Medallions and its affiliates from any claims arising from the use of submitted artwork.

We reserve the right to decline production of any design that infringes upon intellectual property rights, violates licensing agreements, or conflicts with legal restrictions.

Unless otherwise agreed in writing, custom artwork created by Hero Medallions remains the intellectual property of Hero Medallions for manufacturing purposes. We reserve the right to reproduce or display non-personalized design elements for portfolio or promotional use.

Ownership of Tooling, Molds & Production Assets:
Unless otherwise agreed in a separate written agreement signed by Hero Medallions, all molds, dies, tooling, masters, digital artwork, sculpting files, production files, manufacturing specifications, manufacturing methods, and other production assets created, commissioned, or used in connection with a custom order remain the exclusive property of Hero Medallions and/or its manufacturing partners.

Charges paid for custom artwork, setup, tooling, mold creation, sculpting, design development, or production preparation compensate Hero Medallions for services rendered and do not convey ownership rights in any mold, die, tooling, master, production file, manufacturing asset, manufacturing method, or intellectual property.

Customers purchase only the finished medallions produced from such tooling. No ownership rights, title, license, or interest in any mold, die, tooling, master, production file, manufacturing specification, manufacturing method, or production asset are transferred to the customer.

Hero Medallions is under no obligation to transfer, sell, release, ship, or otherwise provide molds, dies, tooling, masters, production files, manufacturing specifications, manufacturing methods, or other production assets to any customer. Any exception must be expressly authorized in a separate written agreement executed by Hero Medallions.

Hero Medallions may retain molds, tooling, masters, and production files for future production runs, maintenance, replacement orders, catalog consideration, or other business purposes. Hero Medallions makes no representation regarding the length of time such materials will be retained.

Due to fluctuations in copper, tin, bronze, coatings, labor, and transportation costs, custom medallion pricing is subject to change without notice.

DISCLAIMERS:

• No Purchase Orders accepted.
• All custom orders must be paid in full prior to production.
• Signed eSignature approval is mandatory before casting.
• Ownership of molds, dies, tooling, masters, production files, and manufacturing assets remains with Hero Medallions and/or its manufacturing partners unless otherwise agreed in writing.
• Custom orders are non-refundable.
